Privacy & cookies

Privacy and cookies. In plain English.

What we collect when you use this site or get in touch, why we collect it, who else sees it, and what you can ask us to do with it.

The short version

  • We only collect what you give us when you get in touch, plus how you use this site if you allow it.
  • We use it to reply to you and, if you become a client, to do the work.
  • We never sell your details.
  • Google Analytics cookies are only set if you click Accept.
  • You can ask to see, correct or delete your data at any time.

Who we are

Greywell Studio is run by [YOUR FULL NAME], a sole trader.

In data protection law, we're the "controller" of your personal data. That means we decide how it's used and we're responsible for looking after it.

For anything about your data, email greywellstudio@gmail.com.

We're registered with the Information Commissioner's Office (ICO), the UK's data protection regulator. Registration number: [ICO NUMBER].

What we collect and why

When you send an enquiry

The contact form asks for your name, business name, email address and a message. You can also give your phone number, your website and which services you're interested in. We use these to reply to you and talk about the work you've asked about.

The form is run by Formspree, a US company. It emails your enquiry to us and keeps a copy on its own system.

Our legal reason: you've asked us to get in touch about working together, so we need these details to reply. The law calls this taking steps before a contract.

When you email, phone or message us on WhatsApp

We keep your message and your contact details so we can reply.

On WhatsApp, that includes your phone number and the name on your WhatsApp profile. WhatsApp's own privacy policy also applies to messages sent through it.

Our legal reason: the same as an enquiry.

If you become a client

We keep your contact details, what we've agreed to do, and invoices and payment records.

Our legal reasons: to do the work we've agreed (a contract), and to keep the business records that tax law requires (a legal obligation).

When you browse this site

Only if you click Accept on the cookie banner, we use Google Analytics to see how people use the site: which pages they visit, how they found us (for example a Google search or an ad), their device and browser, roughly where they are (town or region, never an exact location), and actions such as clicking "Book a call" or sending the form. This shows us which of our marketing works. It doesn't include your name or email address.

If you click Reject, or don't choose, no Google Analytics cookies are set.

Before you choose, and if you click Reject, Google Analytics still receives a basic signal when a page loads. No cookie is set and nothing is stored on your device. Google uses these signals to estimate how many people visit without accepting cookies.

Our legal reason for these signals: understanding roughly how many people visit, without identifying anyone, is in our interest and doesn't affect you. The law calls this legitimate interests.

Our legal reason: your consent. You can change your mind at any time with at the bottom of every page.

Like every website, the company that hosts this site, Netlify, records technical details of each visit, such as your IP address and browser, to keep the site running and secure.

Our legal reason: keeping the site secure is in everyone's interest. The law calls this legitimate interests.

Who else sees it

We use a few companies to run this site and the business. They only use your details to provide their service to us.

  • Formspree runs the contact form (USA).
  • Google provides Google Analytics (USA). See "When you browse this site" above for what it receives.
  • Netlify hosts this site (USA).
  • Google provides our email.
  • WhatsApp (part of Meta) carries the messages you send us there.
  • Professional advisers, such as an accountant, see client records only.

We never sell your details or share them for anyone else's marketing. We'd only pass them to anyone else if the law required it.

Some of these companies are based in the USA. When your data leaves the UK, it's protected by the safeguards UK law requires, such as the UK–US data bridge or contract terms approved by the ICO.

How long we keep it

  • Enquiries that don't lead to work: 12 months after we last hear from you. Then we delete them from our inbox and from Formspree, and delete the WhatsApp chat.
  • Client records: as long as tax law requires, usually six years after the work ends.
  • Google Analytics: Google keeps the detailed data for 14 months, then deletes it.
  • Web host logs: as long as Netlify keeps them, usually a few weeks.

Your rights

You can ask us to:

  • show you the personal data we hold about you
  • correct it if it's wrong
  • delete it
  • stop using it, or limit how we use it
  • give you a copy to take somewhere else

You can also withdraw your consent to analytics cookies at any time.

Email greywellstudio@gmail.com. It's free, and we'll reply within one month, as the law requires.

If you're unhappy with how we've handled your data, you can complain to the ICO at ico.org.uk or on 0303 123 1113. We'd appreciate the chance to put it right first.

Changes to this page

If we change how we use your data, we'll update this page and the date at the top.
